Role overview 

Implement and ensure performance of administration tasks to enable trade activities execution


What you’ll be doing

Display program Support:

  • Compile and transfer TME-confirmed results from Dragon to CMS and proceed next steps for audit results (obtaining signatures, consolidating, and sending to Accounting).
  • Update PAF programs as needed, and continuously monitor, support, and resolve issues with relevant teams.
  • For special cases, oversee the entire payment process from securing approvals and submitting requests to disbursing funds and informing relevant teams.
  • Manage all documentation from receipt to verification, and process payments for agency audits (PR, PO, GRN).
  • Facilitate approval for payment costs, submit receipts and GRNs, and prepare documents for final submission to Accounting, including addressing any missing documentation with Procurement.

Activation Support:

  • Initiate requests of POSM based on TME allocations, follow up approvals, and track pick-up and delivery progress.
  • Collect, verify, and scan supplier documents to process advance clearances, then submit all supporting documentation to Accounting
  • Initiate purchase requests (PR, PO) for P2 work with Procurement, and guide suppliers on documentation while managing their submitted paperwork.
  • Facilitate the approval of acceptance minutes and payment costs, then process receipts and GRNs.
  • Conduct final verification and submit all necessary documents to Accounting for payment processing.

UTC Support:

  • Manage end-to-end payment workflows
  • Oversee the submission and approval of Acceptance Minutes, handle specific payment processes for prize winners, state budget contributions, and NNC related to personnel counting bottle caps.
  • Ensure all documentation is accurate, complete, and submitted for necessary approvals and final accounting, with effective communication with Procurement and suppliers.

Others:

  • Support team regarding Trade program processes, payment, vendor, agencies, cross-functional collaboration, issue resolution….
  • Other tasks assigned by manager

What we’re looking for

  • Education: College / University graduated in Accountancy, Business Administration, or related fields
  • At least 6 months of relevant working experience
  • Detail – oriented characteristic
  • Good communication and coordination with cross function department
  • Good MS skills in Excel and Word
  • Fluent English communication is a plus
